We are seeking a technically minded and detail-oriented Service Administrator; to join our team at Newgate.
Reporting to the Service Manager, you will be a proactive, adaptable individual with the ability to work effectively under pressure to support customers and Service Engineers; ensuring service requests are handled in a professional, friendly and timely manner.
As a Service Administrator, you will be an integral part of our fast-paced environment, responsible for liaising with engineers, booking appointments, and handling various administrative tasks.
Job Duties
- Customer Liaison – handling incoming customer service requests (via phone & email) in a prompt, friendly and professional manner
- Logging and processing service requests; resolving any queries or complaints
- First point of contact for the engineers
- Collaborate with internal teams to optimise service delivery
- Manage the Service Inbox
- Administration – ensuring the log, spreadsheets and project files are kept up to date
- Preparing quotations for supply and repair to customers
- Ensuring that the scheduling sheets are updated on a daily basis
- Cover scheduling when other team members on are out of office – allocating engineers to jobs ensuring that: customer deadlines are met, engineers are fully utilised (within Working Time Regulations) and geography is considered when planning routes to limit travelling times
Experience
- Previous experience in a similar technical service role
- Excellent verbal and written communication skills
- Experience working in a customer service or customer facing environment
- Proven experience in a coordinating role is essential
- A good standard of literacy and numeracy
- Demonstrable ability to plan, organise and prioritise work
- Be neat and methodical in their work
- Accurate data entry skills
- Knowledge of Sage or other ERP systems such as SAP or Oracle
- Good Microsoft office skills with strong Excel skills
- An understanding of health and safety legislation
